Frequently Asked Questions
1. Who is PlanPerfect for?
Q: Who is PlanPerfect for?
PlanPerfect is for any nonprofit leader who wants a plan (in other words, everyone). Whether you are starting fresh, building off of a previous plan, or ready to make the transition from having a static "on the shelf" document to a "living" plan, PlanPerfect software supports you. You do not need technical expertise, planning experience, a staff, or a consultant. You just need a vision for your organization and the willingness to put it into words.
PlanPerfect specializes in serving nonprofits with budgets under $25 million across a wide range of sectors and structures, including charitable organizations, social welfare groups, foundations, clubs, associations, and more. We specialize in organizations registered under 501(c)(3), 501(c)(7), select 501(c)(4), or 528. The platform also supports larger organizations as well as small-to-medium-sized businesses, but the small-to-medium-sized nonprofit is in our sweet spot.
Q: I am an executive director or founder. Is PlanPerfect right for me?
Yes. PlanPerfect is built for leaders who carry the vision of the organization and need a practical, manageable way to build a plan around it and execute on the plan. We can help you build both strategic plans and operating plans that you can track and use for reporting, and that grow and adapt as the organization does. Learn more at planperfect.co/executive-directors-and-ceos.
Q: I am a board member. Can I use PlanPerfect?
Yes. PlanPerfect makes the planning process faster and more engaging for boards — helping them participate, track progress on clear dashboards, and hold themselves and staff leaders accountable to goals. Learn more at planperfect.co/board-members.
Q: I work at a foundation or association. Can PlanPerfect help my grantees or members?
Yes. PlanPerfect supports grantees both one-on-one and in cohorts. This allows foundations and associations to fund or facilitate strategic planning across a group of organizations at once, using shared tools with flexibility for each organization's context. PlanPerfect is also well suited to helping foundations build their own strategic plans. Learn more at planperfect.co/foundations-and-associations.
Q: I am a consultant. Would PlanPerfect work for my practice?
Yes. We love working with consultants! PlanPerfect manages planning workflows, tracks client progress, and handles reporting logistics — freeing you to focus on your relationship-driven work. Learn more at planperfect.co/consultants.
Q: Is a perfect strategic plan possible?
While our name is PlanPerfect, we understand that even when things are not going perfectly, they can still be going right. What matters is the journey, and the thought you put into creating the best possible strategic plan for your organization is just as important as the final product. So while perfection may not exist, PlanPerfect gets you close.
2. Strategic Plans
Q: What is a strategic plan?
A strategic plan is a document that outlines an organization's goals, the strategies it will use to achieve them, and the actions required to get there. It guides decisions and resource allocation over a set period — typically one to five years, depending on the organization. An effective strategic plan helps an organization:
Define what it wants to accomplish and by when
Develop a path for how to get there
Track and report on progress and areas for improvement
Budget and spend effectively
Raise funds
Present itself professionally to funders, partners, and the public
Q: Why do I need one?
Research shows that nonprofits with strategic plans are more likely to:
Develop effective donor engagement strategies
Assist with better decision-making
Have a clearer sense of how they are performing
Inspire confidence in donors and raise more funds year over year
Achieve long-term, sustainable financial health
Increase board participation
Demonstrate transparency and internal accountability
Meet their goals and objectives
Q: I have heard about "living" strategic plans — is that what I am making on PlanPerfect?
That is right. PlanPerfect helps you create a living strategic plan — one that is updated as your organization grows and changes. Traditional plans become obsolete quickly because they are not built to adapt. A living plan keeps your organization on course even as circumstances shift.
Q: How long does a strategic plan last?
A standard strategic plan covers three to five years, though one or two-year plans work well too. The right timeline depends on your organization. With PlanPerfect's living plan format, you can adjust the timeline as needed, archive plans, and have multiple plans for your organization.
Q: How does PlanPerfect help me with fundraising?
A Nonprofit Pro survey found that 86% of nonprofit leaders believe having a plan positively impacts earned and raised revenue, and that roughly 40% of revenue is directly attributed to their strategic plan. Nonprofits are also six times more likely to generate revenue if they regularly review and measure their plan. A strong plan communicates mission and impact to donors — and PlanPerfect keeps that plan current and accessible year-round.
Q: Why would I not just make a strategic plan on my own?
You can — and many people do. But building a plan on your own typically means significant time investment, difficulty coordinating stakeholders, and no system for tracking progress or reporting results. Hiring a consultant can cost as much as $200,000. PlanPerfect gives you a guided, collaborative process at a fraction of that cost — with tools for building, reviewing, updating, and presenting your plan all in one place. See planperfect.co/pricing for current rates.
3. Getting Started
Q: How do I start drafting a strategic plan with PlanPerfect?
There are a few ways. You can work through PlanPerfect's guided interview process, which asks questions about your organization and goals and uses your answers to build the foundation of your plan. Or you can dive straight into the platform and build your plan directly. Either way works — the process is flexible. View a demo or book a live demo to see it in action.
Q: I already have a strategic plan. Do I have to wait until my next planning cycle to use PlanPerfect?
No. You can upload your existing plan into PlanPerfect right now and immediately start using the platform to track progress, manage goals and objectives, and report on outcomes.
Q: May I use PlanPerfect on my own?
Yes. Some of the best plans start as one person's vision. PlanPerfect lets you build your initial draft independently, then makes it easy to bring in board members, staff, and other stakeholders for input when you are ready. You stay in control of the process from start to finish.
Q: What if I lack the skills to make a plan?
No one knows your organization better than you — and that is what matters most. PlanPerfect guides you through the process with straightforward questions. You bring the knowledge of your organization; the platform helps you shape it into a plan.
Q: What if I need technical support or coaching?
Support is always available. PlanPerfect offers email support, weekly office hours, and direct access to our founders for onboarding and strategy sessions. Reach us at founders@planperfect.co.
Q: Which types of nonprofits is PlanPerfect built to serve?
See "Who is PlanPerfect for?" above for a full breakdown of eligible organization types and sectors.
4. Product Features & Functionality
Q: How does PlanPerfect enable collaboration with my organization's board and other key stakeholders?
PlanPerfect is designed for collaboration at every stage of the planning process. The Interview feature lets you gather input from board members, staff, donors, and other stakeholders — before, during, or after you build your plan. Responses are collected and organized in the platform, and you can generate a SWOT analysis and view AI-powered insights across stakeholder groups, including how different audiences — board members versus staff, for example — are seeing the organization differently.
Q: Do I have to complete all the sections?
No. PlanPerfect is flexible — you can focus on the sections most relevant to your organization and return to others later.
Q: What integrations are available with PlanPerfect?
PlanPerfect does not currently offer direct integrations with other platforms, but we have the flexibility to do so in the future or on a case-by-case basis. If there is a specific integration that would be useful to your organization, let us know at founders@planperfect.co.
Q: What can PlanPerfect not do?
PlanPerfect is a planning tool, not a decision-maker. It provides structure, guidance, and a framework for your thinking — but the strategic judgment, organizational knowledge, and leadership decisions are yours.
Q: Is the PlanPerfect platform accessible to the visually impaired?
We are committed to making PlanPerfect accessible to everyone, including those with visual impairments and learning differences. Audio and visual accessibility features are in development. In the meantime, please contact us at founders@planperfect.co and we will do our best to help.
Q: How long does it take to make a plan on PlanPerfect?
Getting started takes a few hours. Completing a full plan depends on your organization's stage and how many stakeholders you involve.
Q: May I use PlanPerfect on my phone or tablet?
PlanPerfect works best on a laptop or desktop computer. You can access it through a browser on your phone or tablet, but the experience is optimized for a larger screen. No app download is needed.
Q: What differentiates PlanPerfect from ChatGPT, Claude, Copilot, Gemini or other AI chatbots?
PlanPerfect is purpose-built for nonprofit strategic planning — not a general-purpose AI tool. It combines nonprofit expertise, structured planning frameworks, and AI assistance in one platform, with your data kept secure and never used to train outside models. Monthly support sessions and coaching give you access to human expertise alongside the software. AI chatbots can help you write. PlanPerfect helps you plan.
Q: Do the interview answers feed into the AI to inform plan creation?
Yes. PlanPerfect's AI can draw on everything you input — from interviews to uploaded documents — to help build and refine your plan. You can also generate a SWOT analysis and view cross-audience insights comparing how different stakeholder groups, such as board members versus staff, are responding to the same questions.
Q: Can the model weigh different stakeholder groups differently?
Not currently — but the platform surfaces differences in how groups are responding, so you can make those judgment calls yourself. If you have specific needs around stakeholder weighting, reach out at founders@planperfect.co.
5. Pricing, Support and Business Model
Q: Do you offer pricing plans?
Yes. PlanPerfect offers three pricing plans — Grow, Premium, and Cohort — designed to fit different needs and budgets. Pricing for the Grow plan scales with your organization's annual revenue. See current pricing at planperfect.co/pricing or book a demo and we will walk you through it.
Q: This is out of my organization's budget. Do you offer discounted pricing?
PlanPerfect pricing is designed to meet you where you are. The Grow plan scales with your organization's annual revenue, so smaller organizations pay less. Visit planperfect.co/pricing to see current rates.
Q: May I do a free trial?
Yes. PlanPerfect offers a 14-day risk-free evaluation period. Cancel anytime within that window for a complete refund. We also offer free resources, including video demos, a Strategic Planning Toolkit, a short video series called Planning to Plan, and blog posts on nonprofit leadership. Visit planperfect.co to explore.
Q: What kind of customer support do you offer?
Support is available via email at founders@planperfect.co, weekly office hours, direct meetings with our founders, and ongoing onboarding and strategy sessions. Premium plan clients receive additional customized support and facilitation.
Q: Do you have a knowledge base or tutorials?
Yes. Visit our Resources page for demos, guides, and more.
Q: Do I need to renew my contract to access my plan?
Yes. PlanPerfect operates on an annual renewal basis. An active subscription gives you ongoing access to your plan, software updates, support, and collaboration tools.
Q: Does PlanPerfect qualify as a woman- or minority-owned business?
Yes. PlanPerfect is certified as a Woman-Owned Business by the State of Florida. A copy of the certification is available upon request.
Q: I know a nonprofit that could benefit from PlanPerfect. May I pay for them?
Yes — and we would love that. Reach out at founders@planperfect.co to learn more about sponsorship options and our cohort model.
6. Key Concepts & Terminology
Q: What should a finished strategic plan look like?
A complete strategic plan is clear, concise, and easy for any stakeholder to read and understand. It includes: a title, timeline, executive summary, organizational history, mission, vision, values, goals, objectives, and tactics. You can view PlanPerfect's own strategic plan as an example here.
Q: What is a mission statement?
A mission statement defines your organization's purpose — what you do, for whom, and why. It should be short enough to remember and clear enough that anyone can understand it.
Q: What is a vision statement?
A vision statement describes what the world looks like when your organization fulfills its mission. For nonprofits, this means focusing on the change you create.
Q: What is a statement of values?
Values are the principles that guide how your organization operates and makes decisions. Everyone in the organization should be able to stand behind them.
Q: What is the difference between a goal, an objective, and a tactic?
These three terms build on each other. A goal is a broad, aspirational priority that drives your mission forward — you will typically have three to five. An objective is a specific, measurable, time-bound outcome that tells you how a goal will be achieved. A tactic is the action you take to hit an objective — assigned to a person, with a deadline. Goals do not change during the life of a plan. Objectives are adjusted only when necessary. Tactics are revisited frequently.
Q: What is a metric?
Metrics are how you measure whether your plan is delivering results. PlanPerfect supports metrics at two levels: plan-level metrics give leadership and boards a high-altitude view of overall progress, and objective-level metrics track progress on specific goals. Together, they tell you what is working and what needs attention.
Q: What is a history statement?
A brief description of your organization — who founded it, when, and why — that gives anyone unfamiliar with your work enough context to understand where you came from.
Q: What kind of title should my plan have?
It can be as simple as your organization's name and the years the plan covers. If something captures a key part of your mission, use that. Either way, do not spend too much time on it — the plan itself is what matters.
7. Artificial Intelligence (AI) Use and Governance
Q: How does PlanPerfect moderate its AI features?
PlanPerfect uses safeguards to keep AI-assisted features appropriate and on-purpose — designed to reduce harmful or unsuitable content, deter misuse, and keep responses relevant to strategic planning.
Q: How is AI used in PlanPerfect, and what are its limits?
AI in PlanPerfect is a planning aid, not a decision-maker. It helps synthesize information you provide, surface patterns and questions worth considering, support scenario exploration, and improve the clarity and organization of your plan. Strategic, financial, and governance decisions remain yours. Your leadership and board retain full accountability for priorities, resource allocation, and mission-related decisions — AI supports that work, it does not replace it. For full details on how we handle your data, see our Privacy Policy.
Q: How does PlanPerfect manage the risks that come with AI?
We limit AI's role to support and synthesis, avoid directive language, and design prompts that encourage your own judgment. AI tools within PlanPerfect operate within defined data boundaries and never independently learn from what you provide. For full details, see our Privacy Policy.
Q: How do you respond to concerns about the environmental impact of AI?
PlanPerfect uses AI in a deliberately narrow way — not as a general-purpose tool running continuous background processes. We also believe in weighing environmental costs against real benefits. AI-assisted planning lets nonprofit teams work more efficiently, reducing the time and resources that traditional planning processes require. For resource-constrained organizations, that efficiency has genuine value.
Q: What is your privacy policy?
You can read our full Privacy Policy and our Terms and Conditions on our website.
8. Other Questions
Q: Is PlanPerfect a nonprofit or for-profit entity?
We are a for-profit. Founders Sophia Shaw and Adam Wolford bring decades of experience in the nonprofit world, which is at the heart of everything we build. Plan Smart. Lead with Heart. Learn more about us at planperfect.co/about.
Q: Is PlanPerfect meant to replace consulting services?
No. We see PlanPerfect as a complement to consulting — it handles the logistics and structure of the planning process so consultants can focus on the high-value work only they can do. Consultants come and go from a nonprofit's life; PlanPerfect is built for the long term. We work alongside consultants regularly and welcome the partnership. Learn more at planperfect.co/consultants.
Q: I am interested in scenario planning and risk management. Can PlanPerfect help?
Yes. PlanPerfect includes Enterprise Risk Management capabilities that let organizations identify, track, and manage risk directly alongside their strategic priorities. You can view a demo of that feature here.
9. Enterprise Risk Management
Q: What is Enterprise Risk Management, and why does it matter for nonprofits?
Enterprise Risk Management — often called ERM — is an organization-wide approach to identifying, assessing, and managing risks that could affect your ability to deliver on your mission. For nonprofits, common risks include leadership transitions, funding concentration, reputational exposure, regulatory changes, and operational vulnerabilities.
Q: How does PlanPerfect approach Enterprise Risk Management?
PlanPerfect integrates risk management directly into the strategic planning process rather than treating it as a separate exercise. You can identify risks, assess their likelihood and impact, assign ownership, and build mitigation plans — all within the same platform where your strategic goals live.
Q: Do I need prior experience with risk management to use this feature?
No. PlanPerfect guides you through the process with structured prompts. You bring knowledge of your organization; the platform helps you identify and organize risks you may not have formally documented before.
Q: Can PlanPerfect help my board engage with risk management?
Yes. Risk visibility is one of the most common gaps at the board level. PlanPerfect makes it easy to surface organizational risks in board-ready formats — so risk conversations happen regularly, not only in a crisis.
Q: Is Enterprise Risk Management included in all plans?
Yes. ERM capabilities are available across PlanPerfect plans. Visit planperfect.co/pricing for details on what each plan includes.
